Before you go, confirm your reservation
You should have received an email confirmation by [DATE] from the hotel with your details about your reservation. Each participant will have their own room. Please confirm that all the details are correct, including your name and dates of your stay. If you have not received the email, please check your spam folder for the email address alerts@alerts.gaylordhotels.com or reservations@res-marriott.com . If you do not check in to the hotel or check in later than what is scheduled without notifying the hotel, you will be responsible for a no-show fee.
Check-in/Check-out time
The check-in time at Gaylord Rockies Resort & Convention Center is 4:00 pm and the check-out time is 11:00 am. Please contact the hotel directly if you would like to request an early check in or late check out, if available.
Incidental holds on credit cards
Every hotel asks guests to leave a credit card on file for incidental charges. You will need to provide a credit card when checking in. The hotel requires a hold* of $100/night ($400 total for Aug. 13-17) that shows up as a pending charge and disappears from your account 3-5 business days after your stay.
Please note that debit cards can be used to cover incidental costs but rather than being applied as a hold, the money will immediately be removed from your checking account. The money is refunded to you after your stay, but this can sometimes take 7-10 business days. If possible, please use a credit card at check in to avoid this.
If you have any trouble at check in, please reach out to Angeles or Justine from Greater Good Events through the vFairs app.
If you indicated on your registration form that you do not have a credit card to put on file, we will reach out to you with more information.
*An incidental hold is a refundable amount of money that a hotel holds in order to cover potential expenses during a guest’s stay, such as room service, high-speed internet, or damages to the room
